Managing Onboarding Workflows
Opening a workflow
From the Onboarding list, click View on any row to open that employee's workflow detail.
The workflow detail shows:
- Employee information — name, email, job title, start date
- Template — the template this workflow was generated from
- Progress summary — overall completion percentage
- Task list — all tasks organised by phase or group, with status, owner, and due date per task
Task statuses
| Status | Meaning |
|---|---|
| Pending | Not yet started |
| In Progress | Started but not yet complete |
| Completed | Marked done by the task owner |
| Overdue | Past due date without completion |
| Waived | Skipped with approval |
Completing tasks
Tasks are completed by the person responsible for them:
- HR tasks — completed by HR staff from the Onboarding module
- Manager tasks — completed by the employee's direct manager
- Employee tasks — completed by the new hire, often through a self-service view
Click any task to open its detail, add notes, attach documents, and mark it complete.
Tracking progress
The progress bar on each workflow row updates in real time as tasks are completed. Overdue tasks are highlighted to surface blockers quickly.
Filtering to Active workflows and sorting by target date helps identify at-risk onboarding processes that need attention.
Onboarding templates
Templates are managed separately and define the standard task structure. Contact your HR administrator to create or modify templates for specific roles or client programs.
