Alumni & rehire
The Alumni directory keeps former employees in reach for rehire. When an
offboarding is finalised, permanent and fixed-term leavers get an alumni
profile (contractors and temps only if the tenant opts in); the employee record
is never deleted, and the profile is retained inside the tenant's data boundary
under the same tenant isolation as active records. Open it from the sidebar under
HR → Alumni (/alumni).
The alumni profile
Each profile retains a snapshot taken at departure:
- Full employment history — LOB assignments, roles, tenure dates
- Skills and competency snapshot
- Performance rating summary (aggregate only)
- Exit reason code and voluntary/involuntary classification
- Rehire eligibility
Rehire eligibility
At finalisation, HR sets the leaver's rehire eligibility:
| Value | Meaning |
|---|---|
| Eligible | May be considered for rehire without restriction |
| Conditional | May be considered subject to conditions in the rehire notes |
| Not eligible | Must not be rehired; reason recorded in the rehire notes |
Not eligible is a hard block in recruiting: a candidate that matches a not-eligible alumni profile raises a flagged warning and blocks offer generation until an HR admin explicitly overrides it.
Communication opt-in
Alumni can opt in to hear about future openings — collected with explicit consent (no pre-ticked boxes) and stored with a timestamp for CASL / CAN-SPAM audit. Consent can be withdrawn any time via an unsubscribe link or by contacting HR.
When a new requisition matches an opted-in alumnus's skills and prior LOBs, the system queues a "Return to [company]" opportunity email with a fast-track application link — throttled to at most one every 14 days so alumni aren't spammed.
Rehire fast-track
If an alumnus is rehired, the system reactivates the existing employee record
rather than creating a new one — preserving the original employee number, with
original_hire_date retained and seniority recomputed per tenant policy.
